Procedure for Contract Management

  • EGYPTAIR MAINTENANCE & ENGINEERING's policy is to subcontract / purchase per standing orders or contract (protocol).

  • EGYPTAIR MAINTENANCE & ENGINEERING policy is to subcontract maintenance work in case of the required scope of work is out of its capability & required to cover the customers' work orders.

  • Customers must accept EGYPTAIR MAINTENANCE & ENGINEERING supplier / subcontractor list.

CONTRACT PREPARATION:
The material directorate and/ Group Contract Management (GCM) is/are responsible for the preparation of the general terms of the contract including but not limited to:

  • Specified scope of services including proofs of capability.

  • Demarcation of tasks between EGYPTAIR and supplier / subcontractor.

  • Regulations governing sub-contracting to third parties.

  • Information management including transfer of service data.

  • Regulations and technical documentation to be applied and their provisioning Material and suppliers.

CONTRACT REVIEW:

The material directorate is responsible to revise contract items with respect to the following:

  • Duration of the contract.
  • Production volume involved as agreed during negotiations.
  • Turn around time.
  • EGYPTAIR MAINTENANCE & ENGINEERING requirements for quality.
  • Packing and transportation.
  • Certification.
  • Scope of services to be provided for EGYPTAIR MAINTENANCE & ENGINEERING.
  • Interface responsibility for both parties.
  • Proper time in which EGYPTAIR MAINTENANCE & ENGINEERING is to be advised of un­foreseen contract termination or withdrawal.

All commercial aspects such as

liability matters,
insurance, and price.
Warranty benefits.
Methods of invoices payment.
Concerned QC manager is responsible to review contract items with respect to
the following Stages of the activities development and execution cycle.

  • Provision for appropriate quality control procedure.
  • Description and identification of the inspection procedure and test.
  • Requirements for personnel who perform activities and process identification.
  • Timetable for delivery of services.
  • Warranty requirements and defects agreement regarding material facility and cost I price.
  • The content of the contract must be the same as given in the tender.
    Contracts must be revised before final issuance.
CONTRACT ISSUE:
  • The material directorate is responsible for issuing the formal contract.
    Contract is to be signed by authorized signatories of both parties.
  • A standard form of contract is to be used, and if necessary, adapted for
    specific EGYPTAIR MAINTENANCE & ENGINEERING requirements.
CONTRACT FOLLOWUP:
  • Existing contracts are to be reviewed by material directorate for continuing adequacy
    not less than once a year.
  • Contracts with an expiry date of less than one year are specially reviewed to investigate
    the possibility of prolongation. .
  • Each change or amendment to the current contract will be distributed to concerned department.
FEEDBACK AND INFORMATION MONITORING :
  • The material directorate is responsible to setup a continuous monitoring and feedback information system.
    The system must work in both directions from EGYPTAIR MAINTENANCE & ENGINEERING to supplier /subcontractor and vice-versa.
  • The main objective of the system is to assure that all terms of contracts are fulfilled as previously agreed upon.
